Notice of collection regarding the use of video surveillance systems (cameras)
The Region of Waterloo uses video surveillance cameras to assist in protecting the safety of its employees, visitors, and tenants and to monitor and protect Regional property. The sign below is posted at the entrance of all Region buildings that are under video surveillance to notify you of the collection of your personal information.

The Region operates Corporate Security under the authority of the Municipal Act, 2001. The surveillance system is used to deter vandalism, criminal activity, or any actions which could cause damage or injury to Regional property, staff or visitors. The operation of the system is guided by a policy approved by Regional Council. Surveillance images can be used to investigate identified incidents and for auditing purposes related to facility and systems security. Access to system equipment and recorded images is restricted to authorized staff. Surveillance system recordings are deleted 21 days after collection. However, recordings may be retrieved prior to deletion and retained for longer periods of time if required under the policy or by law enforcement for authorized investigations.

Notice of collection regarding the use of the GIS drone Remotely Piloted Aircraft (RPA)
The Region of Waterloo uses a DJI Matrice 300 RTK, a remotely piloted aircraft.
The primary uses for the RPA are:
- Aerial mapping
- Spatial data collection and analysis
- Infrastructure inspection, such as bridges
- Surveying future planning and development opportunities
- Volumetric analysis
- Thermal imaging
The Region operates under the authority of the Municipal Act, 2001.
Photographs/videos and aerial mapping are taken with no intention of collecting personal information. In certain circumstances, it may not be possible to avoid collecting personal information (e.g., facial features). RPA pilots will position their RPAs to minimize inadvertent personal information collection.
Due to the nature of the collection, it is not practical or feasible to provide each individual (within the video/photography range of the RPA) with a collection notice.

Notice of collection regarding the use of Security Operations call recording
The Region of Waterloo uses FortiVoice to record all inbound and outbound Security Operations calls including security dispatch, emergency call boxes, and frontline security staff. Call recording supports accountability, incident verification, investigations, and complaint resolution. All personal information discussed over the phone is collected such as:
- Caller names, phone numbers, and addresses
- Descriptions of individuals (e.g. physical characteristics, clothing, license plates)
- Voices of callers and security staff
The Region operates Corporate Security under the authority of the Municipal Act, 2001. Call recordings are stored on-premises and deleted 30 days after collection. However, recordings may be retrieved prior to deletion and retained for longer periods of time if required by Security Operations or for authorized law enforcement investigations.
Due to the emergency nature of the calls, it is not practical to provide callers with a collection notice at the time of the call.
